A plumbing invoice shows the service call, the work done, each part or fixture, labor by flat rate or by the hour, and any permit and disposal fees, so the customer can match it to what they approved. The template below starts with a water heater replacement; change the lines to your job and download the invoice as a PDF or Word file to email or print on site.

Plumbing companies bill in two main ways. Flat-rate pricing uses a price book: each task (replace a toilet wax ring, clear a main line, install a garbage disposal) has a set price that covers labor, standard parts and overhead, and the customer approves it before work starts. Time and materials bills the actual hours at an hourly rate plus parts, which suits troubleshooting and remodel work. Many shops use flat rate for service calls and time and materials for larger projects.
Most add a service call or trip fee to cover driving to the job and diagnosing the problem, often credited toward the repair if the customer goes ahead. After-hours, weekend and emergency calls usually carry a higher rate or a surcharge; state it when the customer approves the work and show it as a separate line on the invoice so it does not look like an error.
Itemize the job so the customer can see parts, labor and pass-through charges separately:
Plumbing is a licensed trade in most states, with licenses issued by the state and sometimes by cities or counties. Many plumbers print their license number on estimates, contracts and invoices, and some jurisdictions require it on contracts and advertising, so check with your licensing board. Water heater replacements, repiping and new fixtures commonly need a permit and an inspection; bill the permit fee as a pass-through so the customer can see it is a government charge.
Sales tax on plumbing depends on whether the state treats the job as work on real property. In many states the plumber is the consumer of the materials installed in the building, pays tax when buying them, and charges no tax to the customer. Other states tax separately stated materials or certain repair services. Texas, for example, charges no tax on labor to repair a home but does tax repair and remodeling of nonresidential property. Check your state's rules and set the taxable flag on each line.
The example replaces a 50-gallon gas water heater. The heater ($1,150.00), an expansion tank and fittings ($118.50), 4 hours of installation at $125 ($500.00), the permit at cost ($85.00), haul-away ($50.00) and the $89.00 service call bring the subtotal to $1,992.50. Because the customer approved the replacement, the service call is credited back through an $89.00 discount.
| Line | Calculation | Amount |
|---|---|---|
| Service call and diagnosis | 1 × $89.00 | $89.00 |
| 50-gallon gas water heater, 6-year tank warranty | 1 × $1,150.00 | $1,150.00 |
| Thermal expansion tank, gas flex line, fittings | 1 × $118.50 | $118.50 |
| Labor: remove old heater, install, connect gas, water and venting (hours) | 4 × $125.00 | $500.00 |
| City permit and inspection fee (at cost) | 1 × $85.00 | $85.00 |
| Haul-away and disposal of old water heater | 1 × $50.00 | $50.00 |
| Subtotal | Sum of rounded lines | $1,992.50 |
| Discount | Flat amount | −$89.00 |
| Total | $1,903.50 |
No sales tax line appears, because the example assumes a state where the plumber pays tax on the materials when buying them. The total and the balance due on receipt are $1,903.50.
