Hourly, project or retainer billing

Freelancers bill in three common ways. Hourly billing lists the hours per task and the rate, which fits open-ended work such as editing, consulting calls or development support. Project pricing bills an agreed fee per deliverable (an article, a logo, a landing page), often split into milestones: half to start and half on delivery, or thirds for longer work. A retainer bills the same amount each month for a set amount of availability or output, invoiced at the start of the month.

Use the client's own words on the invoice. If the contract says three blog posts of 1,500 words, the line should say exactly that. Put the project name or the client's purchase order number in the reference field, since larger clients route invoices by PO number and may hold one that lacks it. Most freelancers invoice on Net 15 or Net 30; a new client or a small job can be due on receipt.

What goes on a freelance invoice

Beyond your name, the client's details, an invoice number and the dates, include:

  • Deliverables or hours: one line per article, design round or task, with quantity and rate.
  • Revisions beyond the agreed rounds, at your hourly rate.
  • Reimbursable expenses (stock photos, fonts, software seats, travel bought for the client) at cost, with receipts.
  • Rush fees, when the client asked for a shorter deadline and agreed to the surcharge.
  • A deposit or milestone payment already received, entered as Amount paid.
  • Payment instructions: bank transfer details, a card payment link, or a mailing address for checks.
  • Your legal or business name exactly as it appears on your Form W-9.

Taxes: W-9, 1099-NEC and sales tax

Before paying you, a US business client will usually ask for Form W-9, which gives it your legal name and taxpayer identification number. If the client pays you $2,000 or more for services during 2026, it generally must file Form 1099-NEC and send you a copy; the threshold was $600 for 2025 payments. Payments by card or through a payment app are reported by the processor on Form 1099-K instead, and only above $20,000 and 200 transactions. All of your freelance income is taxable either way, and your invoices are the record that supports it.

Freelancers owe self-employment tax on net profit and usually make quarterly estimated payments, so set aside part of every paid invoice. Most states do not tax writing, design or consulting, but Hawaii, New Mexico and South Dakota tax most services, and some states tax digital products, so check your state if you sell templates, stock files or software.

Kill fees, late fees and getting paid on time

Put the terms that protect you in the contract and repeat them on the invoice. A kill fee, usually a share of the project fee, is what the client owes if it cancels after work has started; bill it as its own line that cites the contract. A late fee only works if the client agreed to it before the work began, and many states limit interest on overdue balances, so use a modest monthly rate or a flat fee and check your state's limit. Send the invoice the day you deliver, follow up a few days before the due date, and keep every invoice for at least three years after you file the return that reports the income.

Worked Example

The example bills a software company for three 1,500-word blog posts at $450 each ($1,350.00), 2.5 hours of editing on the client's own drafts at $60 an hour ($150.00), and two stock image licenses bought for the client and reimbursed at cost ($39.00). Writing services are not taxed in this example, so the total and the balance due are both $1,539.00, payable within 15 days by bank transfer.
