A contractor invoice bills a finished job or a stage of one, with labor, materials, permits and change orders on separate lines, the deposit you already received subtracted, and a due date for the balance. Fill in the template below with your job: it totals each line, applies sales tax only to the lines you mark taxable, and downloads as a PDF or Word file.

Invoices and the books behind them, in one place
Jupid includes invoicing, connects to your bank and categorizes income and expenses automatically, so your records are ready at tax time.
Most trade and general contractors bill one of three ways. A fixed-price job has one agreed number for a defined scope, and the invoice repeats that price with any approved change orders added. Time and materials (T&M) bills labor hours at an hourly rate plus materials at cost or with a markup, which suits repairs and jobs where the scope is unclear until walls are opened. Larger jobs are billed in stages: a deposit at signing, a progress payment at rough-in or when cabinets arrive, and the balance at completion.
Whatever the method, the invoice should match what the customer signed. If the estimate quoted a fixed price, do not switch to hourly lines on the invoice; if it was T&M, show the hours and the rate so the customer can check them against the work log. Many contractors mark up materials to cover buying, pickup, storage and waste. Showing the markup as its own line or building it into the unit price is your choice, as long as the contract allows it.
Deposits are normal but regulated in some states. In California, the down payment on a home improvement contract may not exceed $1,000 or 10% of the contract price, whichever is less, and later payments may not run ahead of the work completed and materials delivered. On bigger jobs, customers and lenders often ask for a conditional lien waiver with each invoice and an unconditional one after the payment clears; several states prescribe the waiver forms.
Itemize enough that the customer can tie every line back to the estimate and any signed change orders. These are the lines most remodeling and repair invoices need:
Sales tax on contracting work depends on the state and on how the contract is written. Many states treat a contractor as the consumer of the materials installed in a customer's home or building: you pay sales tax when you buy the tile or lumber and add no tax to the invoice. Other states tax separately stated materials. Texas shows both approaches for residential repair and remodeling: under a lump-sum contract the contractor pays tax on materials and charges none, while under a separated contract (labor and materials priced separately) the contractor collects tax on the materials but not the labor.
Labor on residential remodeling and new construction is untaxed in most states, but some tax certain repair labor or nonresidential work; Texas, for example, taxes repair and remodeling of nonresidential property. Check your state department of revenue before you set the taxable flags.
Searches for a contractor invoice also come from independent contractors: consultants, designers, developers and other self-employed people paid on a 1099. Their invoices bill hours, projects or retainers, usually with no materials and no sales tax, and the freelance invoice template is set up for that. A business client that pays you $2,000 or more for services in 2026 generally files Form 1099-NEC (the threshold was $600 for 2025 payments) and will ask for your Form W-9 first. Card and payment-app payments are reported by the processor on Form 1099-K instead. Either way, the income is taxable, and your invoices are the record of it.
The example is a kitchen job billed by a Texas contractor under a separated contract. Labor comes to $2,076.00: 6 hours of demolition and 14 hours of cabinet installation at $75, plus 32 square feet of tile setting at $18. The permit is a $96.00 pass-through. The tile and setting materials, $373.15, are the only taxable lines, so the 8.25% local rate adds $30.78.
| Line | Calculation | Amount |
|---|---|---|
| Demolition and removal of old cabinets and backsplash (labor hours) | 6 × $75.00 | $450.00 |
| Install upper and lower cabinets, level and shim (labor hours) | 14 × $75.00 | $1,050.00 |
| Set tile backsplash (labor, per sq ft) | 32 × $18.00 | $576.00 |
| Ceramic subway tile, 3 x 6 in, incl. 10% waste (sq ft) (taxable) | 36 × $6.40 | $230.40 |
| Thinset, grout, edge trim and spacers (taxable) | 1 × $142.75 | $142.75 |
| City building permit BP-2026-04471 (at cost) | 1 × $96.00 | $96.00 |
| Subtotal | Sum of rounded lines | $2,545.15 |
| Sales tax | 8.25% × $373.15 taxable | $30.78 |
| Total | $2,575.93 | |
| Amount paid | −$800.00 | |
| Balance due | $1,775.93 |
The invoice total is $2,575.93. The customer paid an $800.00 deposit at signing, so the balance due within 15 days is $1,775.93.
