Consultants usually bill by the hour, by the day, by fixed fee or on retainer. Hourly works for open-ended advice and small engagements; list the hours per workstream so the client can see where the time went. A day rate suits workshops, site visits and on-site work, where partial hours make little sense. A fixed fee covers a defined deliverable, such as a market assessment or a process redesign, and is often billed in milestones: at kickoff, at the interim review and at final delivery. A retainer reserves a set number of hours or a level of availability each month, billed in advance, with overage hours billed at month end.
Corporate clients pay through accounts payable, so fit their process. Ask whether they issue a purchase order and put the PO number on every invoice, use their exact legal entity name and billing address, and send the invoice to the AP mailbox as well as to your contact. Net 30 is common with larger companies, and some vendor agreements set Net 45 or Net 60; if you signed those terms, invoice to them.
A consulting invoice that clears approval on the first pass usually carries:
Many clients want a time log behind an hourly invoice: date, consultant, hours and a one-line description per entry. Keep it in a spreadsheet and attach it, or summarize hours by task on the invoice itself.
If you work as a sole proprietor or a single-member LLC, a US client that pays you $2,000 or more for services in 2026 generally files Form 1099-NEC (the threshold was $600 for 2025 payments), and it will ask for your Form W-9 before the first payment. Payments made by card are not reported on a 1099-NEC; the card processor reports them on Form 1099-K once they pass $20,000 and 200 transactions. Your invoices are the income record either way, and all of the income is taxable.
Management and strategy consulting is not taxed in most states. Hawaii, New Mexico and South Dakota tax most services, though, and a few states tax specific services that consultants sometimes deliver, such as data processing or information services. Check the rules for the state where your client receives the service. If you bill expenses, show them at cost and keep the receipts, because the client's finance team will ask for them.
The example bills a logistics company for a strategy workshop at a $2,400 day rate and 14.5 hours of operations analysis at $175 an hour ($2,537.50), plus airfare of $412.60 and one hotel night of $189.00 billed at cost. The total is $5,539.10.
| Line | Calculation | Amount |
|---|---|---|
| Strategy workshop with leadership team, on site (day rate) | 1 × $2,400.00 | $2,400.00 |
| Operations analysis and findings memo (hours) | 14.5 × $175.00 | $2,537.50 |
| Airfare Chicago to Indianapolis, round trip, at cost (receipt attached) | 1 × $412.60 | $412.60 |
| Hotel, 1 night, at cost (receipt attached) | 1 × $189.00 | $189.00 |
| Subtotal | Sum of rounded lines | $5,539.10 |
| Total | $5,539.10 | |
| Amount paid | −$1,500.00 | |
| Balance due | $4,039.10 |
The $1,500.00 retainer received at kickoff is applied, so the balance due is $4,039.10, Net 30, with the client's PO number in the reference field so accounts payable can match it.
